Delete your Utility Guard account

Last updated: 2026-06-15

Who this is for

Utility Guard is a workforce-management platform operated by Big S Web Design Sct Ltd (trading as Utility Guard). This page explains how to request that your account and personal data are deleted from our systems.

Most Utility Guard users are workers whose accounts are created and managed by their employer (the organisation that licenses Utility Guard). If you can't recall onboarding yourself with a Utility Guard administrator and don't recognise the email address you used to log in, the simplest first step is to ask your employer to remove your access — they have the right to delete worker records from their dashboard directly.

You can also request deletion directly from us using the steps below, regardless of how your account was created.

How to request deletion

  1. Send an email to info@bigswebdesign.co.uk with the subject “Delete my Utility Guard account”.
  2. Include the email address you use to sign in to the app, and the name of your employer organisation if you know it. This helps us identify the right account.
  3. Optionally tell us which categories of data you specifically want removed (the next section explains what we can and can't delete).

We acknowledge requests within 2 working days and complete them within 1 calendar month, in line with UK GDPR. You can lodge a complaint with the UK Information Commissioner's Office at ico.org.uk/concerns if we don't respond on time.

What gets deleted

The following are deleted permanently when you request it:

  • Your login (email, hashed password, session tokens).
  • Your worker profile: name, date of birth, address, National Insurance number, mobile, emergency contact details.
  • Push-notification device tokens registered to your account.
  • Comments and @-mentions you posted.
  • Your locally-cached data on any device where you sign out.

Some operational logs (records of AI feature usage by your account, audit-trail rows for actions you took on shared documents) are not deleted but are anonymised— the link back to your identity is severed while the aggregate stays in our monthly cost and audit reports. After severing, those rows can't be traced back to you.

What we have to retain

The UK construction-industry health-and-safety regulations require certain compliance records to be kept for years after the worker stops using the platform. These cannot be deleted immediately on request:

  • Occupational medical examination records — retained for up to 40 years for some categories of medical (e.g. exposure-related health surveillance under COSHH or HAVs assessments).
  • Drugs & alcohol screening records — retained for the period set by your employer's drug-and-alcohol policy, typically 6 years.
  • Competency-card records and RAMS / permit sign-offs— retained for the duration of the project plus 6 years for limitation-period purposes.
  • Shift records and time-tracking photos — retained for 6 years to evidence pay and right-to-work under HMRC and Home Office requirements.

Once the legal retention period for a record has elapsed, that record is anonymised or deleted as part of our normal data lifecycle. Until then, we restrict access to those records to the minimum necessary (your former employer's administrators and our staff), and your login is removed so you can no longer access them yourself.

If you believe your records should be deleted sooner than the retention period above — for example, because the underlying legal basis no longer applies — tell us when you make the request and we'll review the specifics.

In-app deletion

The Utility Guard mobile app does not currently include a self-service “Delete my account” button. We're adding one in a future release; until then, the email process above is the supported route.

You can sign out at any time from the app settings menu, which stops the device receiving push notifications and clears the local cached data — but doesn't delete your account on our servers. For that, use the email request above.
